Who handles your data

Enquiries and membership requests
We use your name, email, organisation, and message to answer your request. This supports our legitimate interest in responding to enquiries. A membership request can also involve steps you request before an agreement. Submitting an enquiry does not subscribe you to the newsletter.
Requests are saved in private Cloudflare storage and sent to the IFB team through Resend. Replies are handled through our Microsoft 365 email service. Only authorised staff and service providers can access these records.
Newsletter
We use your email with your consent. We record the consent wording, request date, website source, and confirmation date. A confirmation email checks that you control the address. You must confirm before we subscribe you.
We keep the subscriber record in IFB's Twenty contact system. Resend manages newsletter delivery. Every newsletter has an unsubscribe link. You can also withdraw consent by emailing us. Withdrawal does not affect earlier lawful processing.
Recruitment
We use the details and files you provide to assess your application and contact you. This processing supports steps towards an employment or internship agreement at your request.
Applications are stored in a protected recruitment system. CVs and cover letters use private Cloudflare R2 storage configured in the EU. An email can acknowledge your application. Recruitment data is separate from the newsletter contact system.
Authorised staff may use Google Gemini to help summarise an application against the role criteria. Staff review these assessments. IFB does not make hiring or rejection decisions solely through automated processing. Contact us if you want to discuss the review of your application.
Security and service providers
Cloudflare hosts and protects the website. It processes connection information, including IP addresses, for delivery and security. The form service uses short-lived hashed identifiers to limit repeated requests.
Service providers may process data outside the European Economic Area. IFB must confirm the applicable provider agreements and transfer safeguards before the new website launches. Contact us for details of the safeguards that apply to your data.
How long we keep data
Unconfirmed newsletter links expire after 24 hours. Expired unconfirmed records are removed during subsequent signup processing. Form rate-limit records expire within one hour and are removed during subsequent requests.
Other records are retained only while needed for the stated purpose, legal duties, or legal claims. Newsletter preferences and consent evidence may be retained to honour an unsubscribe and demonstrate consent.
The final enquiry and recruitment retention periods, deletion schedule, and provider safeguards remain subject to IFB approval before launch.
Your rights
You can ask for access, correction, or deletion of your personal data. Where applicable, you can request restricted processing or data portability. You can object to processing based on legitimate interests. You can withdraw consent at any time.
Email hello@impactfinance.be to exercise these rights. We may request proportionate information to verify your identity. You can complain to the Belgian Data Protection Authority.
